LOOPTOPIA 2026 · Smyrna Design × OK LABs
privacy notice for the registration
Last updated: 20 October 2026. The German version is authoritative.
in brief
This notice covers the registration page looptopia.smyrna-design.de for our workshop “Don't replace. Adapt.” on 14 November 2026 as part of LOOPTOPIA. We use your details only to organise the workshop and delete them by 30 November 2026 at the latest. The page sets no cookies, uses no analytics or tracking services and loads no third-party content; the fonts also come from our own server.
controller
Smyrna Design GmbH, Seesener Straße 39, 10711 Berlin, Germany, represented by its managing director Pürlen Karaçam. E-mail: info@smyrna-design.de, phone: +49 1520 8126653.
registering for the workshop
When you register, we process the details from the form: first name, last name, e-mail address, age, location and – if you provide it – company or organisation. We also store the time of registration, the language of the page and the version of this notice you were shown.
We use these details to run the workshop: for the participant list and admission, to plan places and materials, and to inform you about changes or a cancellation. We also use age, location and company to tailor the workshop to the participants and to evaluate it in aggregated form, for example how many participants came from companies; such figures do not allow conclusions about individuals.
The legal basis is Art. 6(1)(b) GDPR (carrying out the event you register for). For the aggregated evaluation it is Art. 6(1)(f) GDPR; our legitimate interest is to plan and improve our events.
First name, last name, e-mail address, age and location are required to register; without them registration is not possible. Company or organisation is optional. We do not send you advertising or a newsletter.
We delete your details by 30 November 2026 at the latest. If you withdraw your registration earlier, we delete it straight away; an informal message to info@smyrna-design.de is enough.
visiting the page
When you open the page, your browser necessarily transmits connection data to our server: IP address, date and time of the request, requested address, status code and amount of data transferred, and the user agent (identifier of the requesting software, such as browser type and operating system). The server stores this data in log files to ensure secure and stable operation, to defend against attacks and to analyse errors. If an error occurs, the web server and the application also write an entry to an error log. The legal basis is Art. 6(1)(f) GDPR; these purposes are our legitimate interest. The logs are deleted after 14 days at the latest; individual entries are kept longer only if and as long as we need them to investigate a specific security incident.
To protect against automated mass registrations, the server also keeps a checksum (hash) calculated from your IP address in memory for at most one hour, to count how often the form was sent from that address. The legal basis is again Art. 6(1)(f) GDPR.
hosting and recipients
Our server runs on Oracle Cloud Infrastructure in a data centre in Paris; the data is stored in the EU. A technical service provider operates the server for us. The service provider and the hosting provider process the data only on our behalf and according to our instructions (Art. 28 GDPR).
The technical service provider maintains the server by remote access from Türkiye and can access the data in doing so. This is a transfer to a third country (Art. 44 et seq. GDPR); there is no adequacy decision of the European Commission for Türkiye. We have therefore agreed the European Commission's standard contractual clauses with the provider (Art. 46(2)(c) GDPR); you can obtain a copy on request at info@smyrna-design.de. Oracle may also access the server from outside the EU for support, troubleshooting or recovery, for example through Oracle companies in the USA or India; Oracle bases such transfers on its approved binding corporate rules for processors (Art. 47 GDPR) and on the standard contractual clauses (Art. 46(2)(c) GDPR).
If we write to you about the workshop, we use our mailbox info@smyrna-design.de on Google Workspace (Google Cloud EMEA Limited, Dublin, Ireland). Details, including on transfers to the USA, are in our privacy policy.
Recipients of personal data are therefore the technical service provider and Oracle (registration and connection data) and Google (e-mails). Other parties receive data only where we are legally obliged to disclose it. We do not sell data.
your rights
You have the right of access, rectification, erasure, restriction of processing, data portability and objection (Art. 15 to 18, 20 and 21 GDPR). An informal message to info@smyrna-design.de is enough. There is no automated decision-making, including profiling.
right to object
Where we process data on the basis of Art. 6(1)(f) GDPR, you may object to this processing at any time on grounds relating to your particular situation (Art. 21 GDPR). We will then no longer process the data unless we can demonstrate compelling legitimate grounds that override your interests, rights and freedoms, or the processing serves the establishment, exercise or defence of legal claims.
right to lodge a complaint
You may lodge a complaint with a data protection supervisory authority (Art. 77 GDPR), in particular in your place of residence. The authority responsible for us is the Berlin Commissioner for Data Protection and Freedom of Information (www.datenschutz-berlin.de).
